Since the conference is taking place at Newcastle University, accommodation
has been secured at a number of providers close to the venue or at other
convenient locations. To ensure you book a room allocated to delegates,
all bookings should be made through this website.
Rooms are available until 23 February 2009. Please ensure
you book early to secure availability, as hotels in the area tend to get
extremely busy. After 23 February 2009 the remaining rooms in our room
blocks will have to be released.
18th March 2009 is the ‘lock date'. From this date on you can no longer access the system to view and amend bookings etc. You will now need to contact either Anna Moroney (tel: +44 191 243 8819 ) at the NewcastleGateshead Convention Bureau or the hotel itself to make any changes to your booking.
All hotel options and room rates are published here together with live availability. There is information on all of the hotels and also a link through to Google maps, so delegates can see the exact location of their chosen hotel.
To check availability and rates please enter any criteria and click the 'Search Hotels' button. The criteria you enter will determine the accommodation selection on offer. If you do not enter any search criteria, all accommodation providers will be displayed.
There are two payment options available through this system. Please
note not all hotels offer both options of payment.
Credit and Debit Cards: select a venue and enter your card
details as a guarantee. No payment is taken through the site and the
cancellation policy for the accommodation provider you have selected, is
displayed. Payment is then made on departure directly with the hotel by
whichever option you prefer. Should you fail to arrive without cancelling
your reservation, the cancellation fee would be debited from the card used
to make the reservation.
Pro Forma Invoicing Some venues will offer pro forma invoicing in which case the reservations are considered provisional until payment is received in advance of arrival. This form of reservation is only offered until 6 weeks before the event to allow time for the venues to process invoices and receive payment.
You will receive confirmation of your booking on screen and by automated e-mail. This e-mail will contain a ‘reservation reference' and a ‘reservation password' which will allow you to log in to the system at a later date to cancel or amend your reservation.
We maintain the privacy of your data and use it purely for the purpose of managing your reservation. Data is shared only with the selected accommodation provider for the purpose of the reservation.
